Democap vs Zoom: personalized demos without the calendar
Zoom is built for live conversations. Democap is built for the demo itself — recorded once, personalized per lead, and watchable without a meeting. Here is when to use each.

Zoom and Democap solve different problems, and plenty of teams use both. Zoom gets you in a room with a prospect. Democap gets your product in front of a prospect — personalized to them — without anyone booking a room at all.
This page explains where each tool fits, and why teams that demo their product over Zoom often add Democap alongside it.
The short version
| Democap | Zoom | |
|---|---|---|
| Built for | Personalized, shareable product demos | Live meetings and webinars |
| The demo is | Your real interface, replayed (a DOM recording, not a video) | A live screen share, or a video recording of one |
| Scheduling needed | No — send a link | Yes, for live calls |
| Personalization | Per-lead: names, logos, and numbers on screen, from one master recording | Manual — you personalize by talking |
| Fix a mistake | Edit the recording afterwards — text, clicks, timing, narration | Re-do the call, or live with the recording |
| Who watched, and how far | Per-viewer analytics on every share link | Attendance reports for meetings/webinars |
| Narration | Webcam, voice-over, or AI text-to-speech in multiple languages | You, live |
| How it's delivered | Private share link, plays in the browser | Calendar invite; recordings shareable as video |
Where Zoom wins
Be honest with yourself about this one: nothing replaces a live conversation for late-stage deals. When a prospect has specific questions, wants to negotiate, or needs to see something off-script, a live Zoom call is the right tool. Zoom is also the obvious choice for webinars, group training, and anything genuinely interactive.
Where Democap wins
Most demos never needed a meeting. Early-stage leads want to see the product before they'll commit 30 minutes to a stranger. Democap lets you send them a demo instead of a calendar link:
- Record once, demo everyone. One walkthrough of your product becomes a personalized copy for every lead — their name, their company, their numbers on screen. You never re-record.
- It's not a screen recording. Democap captures the interface itself — every click, scroll, and keystroke — and replays it live in the browser. Text stays sharp at any size. There's no compressed, blurry screen grab.
- Edit after you record. Flubbed a click? A stale metric on screen? Edit the recording — change on-screen text, remove mistakes, add zoom-ins, re-do the voice-over — without recording again. A Zoom recording is frozen the moment the call ends.
- Know exactly who watched. Every lead gets their own private link, and you see who opened it, how long they watched, and where they dropped off. A Zoom recording link tells you nothing.
- No time zones, no no-shows. The demo is ready when the lead is. No scheduling ping-pong, no 20% no-show rate.
The workflow most teams land on
- Top of funnel: send a personalized Democap demo in outreach. The lead sees their own name and numbers in your product within seconds of clicking.
- Qualification: watch the analytics. A lead who watched 90% of a demo twice is worth a call. One who never clicked isn't.
- Late stage: book the Zoom call — now with a prospect who has already seen the product and shows up with real questions.
Democap doesn't replace your meetings. It makes sure the meetings you take are with people who already care.
